Healthcare Company Routing and Intelligent Data Processing workflow system

Healthcare Company required a solution for automating not only the identification and classification of a document type, but also automated extraction of key index elements and routing/allocation of documents to specific user groups possessing a skillset necessary to facilitate a meaningful “first-touch”.

The existing solution relied on users accessing a file share on a local network resource and manual entry of all relevant indexed data elements.

The Ametras Intelligent Data Processing and DMS is in place to allow for centralized storage and processing of healthcare documents of all types to maintain compliance requirements and improve SLAs and overall QoS.

  • State-run Healthcare Company utilizes inbound/outbound and email-to-fax for their healthcare claims documents (Fax solution agnostic)
  • Inbound faxes are automatically imported into on-Premise D3 system from network share and the inbound fax number is interpreted (virtually identical Cloud-based solution available)
  • Faxes are immediately made available to the user groups while a separate workflow item is created for each document (if required based on specific document type requirements)
  • Based on the inbound number, the workflow item is allocated to a specific department:
    • Pharmacy
    • Utilization
    • Medicare, etc.
  • Browser and desktop client user interfaces utilized depending on user location and network resource access: Browser interface accommodates greater flexibility in terms of user access from “non-standard” physical locales – “access from anywhere”
  • Users have several functions available within the workflow:
    • Add notes
    • Split faxes into multiple documents and create new workflows
    • Reroute faxes to different departments and/or subqueues
    • Add data elements cross-referenced from their HCMS
  • Full text of all imported documents available to search as well as specifically indexed fields for the individual policy documents – “Google” type search functionality across the entire complement of documents regardless of whether or not documents created a workflow item
  • Outbound email-to-fax documents are automatically imported into d3 for archiving
  • Healthcare Company is permitted to manually upload documents into D3 and depending on the upload criteria entered, a workflow item will be created automatically
